Symposium interest list
When you express interest, we store your name, email, optional affiliation, audience category, language preference, and consent date in our Neon database. This allows the organizing team to contact you about this symposium; it does not reserve a place or subscribe you to the general newsletter. Repeated submissions of the same email do not create additional entries. To request a correction or removal, email Advancingglobal@gmail.com. Short-lived, hashed network identifiers help limit automated submissions; raw IP addresses are not stored in the interest database.
Symposium registration and payments
When you register for the March 30 symposium, we store the attendee’s name, email, optional organization, attendance role, ticket type, price, language preference, consent date, payment status, and the Stripe payment reference in our Neon database. We use this to confirm your registration, prepare check-in, contact you about the event, handle cancellations and transfers, and keep financial records. Payment is processed by Stripe on its secure checkout page under Stripe’s own privacy policy; card and bank details go directly to Stripe and are never received or stored by this website. Approved sponsors and exhibitors pay through a personal payment link; we store the approved amount, payment status and Stripe reference with their inquiry. Only authorized organizers can view registrations and payments, through a password-protected admin page.
Abstract submissions
When you submit an abstract, we store the track, title, presenting author’s name, email and affiliation, co-authors and their affiliations, topic, abstract text, any student contribution statement, disclosures, your language preference, and the submission date in our Neon database. The organizing team and reviewers use them to review the abstract, contact the presenting author, and prepare the program. Stripe processes the submission fee; we receive the payment status and amount, never your card or bank details. While you write, your draft is saved only in your own browser (local storage) and is removed after a confirmed payment; you can also clear it by clearing this site’s data in your browser. Contact Advancingglobal@gmail.com to correct or withdraw a submission.
Organizational inquiries and event requests
Sponsorship, exhibit, collaboration, expert-exchange requests, and newsletter opt-ins collect only the fields needed for the selected action. These may include contact and organizational details, interests, proposed meeting topics, and your consent. Requests are stored in our Neon database with your language preference and submission date for the organizing team to review and follow up. Exact repeat submissions do not create additional entries. Short-lived, hashed network identifiers help limit automated submissions; raw IP addresses are not stored in the inquiry database. A successful submission means the request or preference was received; it does not approve a sponsorship, exhibit, partnership, expert meeting, or event place, and it does not by itself confirm that an email has been sent. Contact Advancingglobal@gmail.com to request a correction or removal.
Information you choose to share
Forms request the information needed for the action you select, such as your name, email address, affiliation, and professional inquiry. Please do not include medical records or other sensitive personal information in general inquiries. Abstract submissions are described below.
Your choices
Email updates require a separate opt-in. Opening a page does not subscribe you. The language selector changes the language of the website. Contact the organizing team for questions about information you have shared.
External websites
Resource and map links take you to other organizations’ websites. Training registration and payment are provided through BGMC under its own privacy practices and terms. Review BGMC’s policies before sharing information or making a payment there.
How long we keep information
Interest-list entries and inquiries are kept until the organizer removes them or you ask us to. Registration and payment records are kept for as long as needed to run the event and to meet accounting and tax record-keeping obligations, generally up to seven years, and then deleted.
Your choices and rights
You can ask to see, correct, or delete the information we hold about you, or withdraw a consent you gave, by emailing Advancingglobal@gmail.com. We may need to keep payment records required by law. We do not sell personal information or share it for advertising.
Cookies and browser storage
This website does not use advertising or analytics cookies. While you complete a form, your entries may be kept temporarily in your browser’s session storage so they are not lost if you return from the payment page; this clears when you close the tab. An abstract draft is kept in your browser’s local storage until its payment is confirmed, so a long text is not lost. Stripe’s checkout page uses its own cookies for security and fraud prevention. The organizer admin page uses a sign-in cookie for organizers only.
Children
This website is intended for adults. Symposium registration on this website is for people aged 18 or older; younger participants, such as high-school abstract authors, should submit and take part with a parent or guardian’s agreement.
Where information is stored
This website and its database are hosted by service providers in the United States (Vercel and Neon), and payments are processed by Stripe. If you are outside the United States, your information is transferred to and processed in the United States.
